The Opening balance period 201000 now contains the Balances brought forward from the financial year 200900 to 200913.
The following information will help ensure you understand the implications of selecting different ranges of periods on reports.
What does 201000 mean?
The Agresso financial year is implied by the first 4 digits of the period 2010 means the financial year that starts in August 2010 and goes through to July 2011. 2011 will mean the financial year starting in August 2011 and finishing in July 2012.
The last 2 digits indicate what month within the financial year:
00 This is used to hold the Balances brought forward from the previous financial year.
01 through to 12 These relate to financial months of the year starting with 01 (August) and ending with 12 (July)
13 This is a special period used within the finance office to complete a closing financial year after the year has been closed for normal transactions.
So 201000 is the period in the financial year starting August 2010 that holds the balances brought forward from the previous financial year.
There is a report available in the 'codes and lists' section of Agresso Reports called 'Financial Periods' which lists details such as real dates and status of financial periods.
How do I include balances brought forward from the previous year in a report?
To run reports to include balances brought forward from previous years, use a period range that includes the 00 period. For example, to run a report for the financial year August 2010 to July 2011 and include the Balances brought forward from the previous year, use the period range of 201000 to 201013.
For most reports the default period range includes 00 through to 13, so you need do nothing.
I'm only interested in this year?
To include the current year only - use a range from 01 through to 13.
It's August 2011 and I've run a report from 201100 through to 201113 but there are no Balances brought forward?
Balances are only brought forward once a year and after the accounts for a financial year have been finalised. The accounts for the year August 2011 to July 2012 will not be finalised for several months so there will be no balances posted to 201000 until at least December 2011. A notice will be issued when balances are posted.
Can I run a report across more than one financial year?
Yes, we recommend using one of the 'Life to date' transaction listing reports in Agresso Reports because these are specifically filtered to avoid including the Balances Brought Forward transactions. If you run a normal financial year based report across two financial years then both transactions and balances may be included and inflate the values.
